The processing is carried out in accordance with the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (“General Data Protection Regulation”, hereinafter “G.D.P.R.”), as well as relevant national legislation on personal data protection.

QUANTICA 720 LIFETECH SRL (hereinafter “the Company” or “We”), through the QUANTICA 720 Integrative Medicine Clinic, provides patients access to a wide range of treatments and therapies that combine best practices from conventional and complementary medicine. We offer personalized care based on the latest scientific evidence, with a strong focus on prevention, patient education, and multidisciplinary collaboration.

Integrative medicine is a holistic approach to healthcare that combines conventional practices with complementary therapies, aiming to treat the whole person and not just symptoms or disease.

  1. HOW DO WE PROCESS YOUR PERSONAL DATA?

QUANTICA 720 LIFETECH SRL (through the QUANTICA 720 Integrative Medicine Clinic), in its capacity as Controller, processes the personal data of data subjects — candidates applying for available positions, employees, practicing doctors and/or collaborators of the Integrative Medicine Clinic, representatives of contractual partners/service providers, as well as the data of other natural persons who interact with the Clinic and/or are engaged in contractual relations with it.

Personal data are:

  • processed lawfully, fairly, and transparently in relation to the data subject;
  • collected for specified, explicit, and legitimate purposes and not further processed in a manner incompatible with those purposes;
  • adequate, relevant, and limited to what is necessary in relation to the purposes for which they are processed;
  • accurate and kept up to date;
  • kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the data are processed;
  • processed in a manner that ensures appropriate security of personal data, including protection against unauthorized or unlawful processing and against accidental loss, destruction, or damage, by taking appropriate technical or organizational measures.

  1. WHAT TYPES OF PERSONAL DATA ARE PROCESSED AND FOR WHAT PURPOSES?

In the context of employing medical staff (for available positions within the QUANTICA 720 Integrative Medicine Clinic), we process the following types of data: first and last name, Personal Numerical Code (CNP), series and number of the identity document (ID/passport), gender, date and place of birth, nationality, signature, data from civil status documents, health and social insurance, profession, workplace (current and any previous), data regarding professional training (diplomas/certificates attesting studies), military status, family status, contact details (personal phone number, email address), home/residence address, etc., bank data, references/recommendations, data from your CV, data regarding criminal record (criminal record certificate), data regarding health status.

If, at the time of employment, you do not agree to provide personal data, QUANTICA 720 LIFETECH SRL, as employer, cannot initiate the legal steps for drawing up and executing the Individual Employment Contract.

For the purpose of completing and submitting the online appointment form for a consultation/medical service (section “Services” – select the medical service and complete the Form) on the website of the Integrative Medicine Clinic www.quantica720.ro/, we process the following types of personal data: first and last name, email address, phone number.

For the purpose of completing and submitting the Retreat Form — organized at Pensiunea Ciprian, Brădetu commune, Argeș county (section “Retreat” – complete the Form) on the website of the Integrative Medicine Clinic www.quantica720.ro/, we process the following types of personal data: first and last name, phone number, email address.

For the purpose of completing the product/medical service/specialized course order form offered by the QUANTICA 720 Integrative Medicine Clinic (sections “Dr. Health720” and “Shop” — select the desired product/medical service/specialized course — press the buttons “Add to cart” – “Checkout” – Billing details) on the website of the Integrative Medicine Clinic www.quantica720.ro/, we process the following types of personal data: first and last name, client type (natural/legal person), email address, phone number, full home/delivery address. We also process the client type (natural/legal person) together with data regarding the city, county and postal code of the delivery address. The payment method is chosen (online, cash on delivery to courier, bank transfer).

For the purpose of completing and submitting the product return form (section “Product return forms” – complete the Form) on the website of the Integrative Medicine Clinic www.quantica720.ro/, we process the following types of personal data: first and last name, email address, phone number, order number and any other data provided at the initiative of the data subject in the “Message” section.

We do not use your personal data to send you marketing communications, such as Newsletters, unless you expressly give your consent for such communications by checking a consent box. In this respect, we process your first and last name, email address and phone number, and after entering these data, the “Subscribe” button is pressed.

  1. WHAT ARE THE LEGAL GROUNDS FOR PROCESSING PERSONAL DATA?
    • Data collected when creating the account or placing the order: First and last name, email address, postal delivery address, phone number, as well as payment details (in the case of online payment). These data are necessary for concluding and performing the distance contract (order processing, product delivery, issuing invoices, informing regarding order status, etc.). The legal basis of these processing activities is the performance of the contract to which the data subject (you) is a party, according to Art. 6(1)(b) GDPR.
    • Data collected in the context of online consultations: In addition to the identification data above, for the provision of integrative medical services, health data of the client may be processed (medical history, symptoms, test results, etc.) — these data are considered special categories of personal data (sensitive data). They are provided directly by the Client voluntarily (through anamnesis forms, discussions with the specialist) and are processed exclusively for the purpose of providing the consultation service and personalized recommendations. The legal basis of these processing activities is the explicit consent of the data subject (Art. 9(2)(a) GDPR) granted by accepting the Terms (which include this notice) and by the voluntary action of communicating such information to the doctor/specialist. Quantica720 ensures that these health data are accessible only to the medical staff involved and are stored under enhanced security conditions.
    • Data for marketing communications (Newsletter): If you choose to subscribe to our newsletter (e.g., by the dedicated checkbox when creating the account or the subscription form), we will process your email address to periodically send information about Quantica720 products, services, and news. You can unsubscribe at any time from these communications using the “unsubscribe” link included in each email or by contacting us directly. The legal basis for sending marketing communications is your consent (Art. 6(1)(a) GDPR), and not granting or withdrawing it does not affect the provision of basic services (orders, consultations).
    • Data collected automatically: Like most websites, our Website also automatically collects certain information upon visit, such as IP addresses, browser type, pages accessed, session duration, via cookies or similar technologies. The detailed Cookies Policy is available on the Website. These data help us improve online services and ensure the security of the Website. For cookies that are not strictly necessary, we request your consent upon first visit, in accordance with the legislation (Law 506/2004 and GDPR).

  1. HOW LONG DO WE PROCESS YOUR PERSONAL DATA?

We store personal data only for the period necessary to fulfill the purposes for which they were collected or for the period imposed by legal obligations (e.g.: billing data must be kept for 10 years according to tax legislation). In principle:

  • Account data and order history: for the duration of the account’s existence and subsequently for the period necessary to defend a right in court or fulfill legal obligations (but we will anonymize certain information upon request, if the account is deleted and there are no longer legal reasons for retention).
  • Health data related to consultations: minimum 1 year from the provision of the service, which may be extended if necessary in the patient’s history for future consultations, or according to medical archiving obligations (if applicable).
  • Marketing data: until the withdrawal of consent (unsubscribe) or the end of the respective campaign.

Upon expiration of the relevant periods, the data will be deleted or irreversibly anonymized, so that they can no longer be associated with an identified person.

  1. TO WHOM DO WE DISCLOSE PERSONAL DATA?

Your data are used within our organization by the relevant departments (e.g.: Sales for order processing, Medical for consultations, Deliveries for shipping). Also, in order to deliver products and provide services, it is sometimes necessary to disclose some data to trusted third parties, such as:

  • Courier company (e.g.: Nemo Express) — we provide the recipient’s name, address and phone number to carry out the delivery of the parcel.
  • Payment processor (e.g.: MobilPay Netopia) — receives the card and transaction data when you pay online, directly through the secure platform; we receive payment confirmation.
  • Email marketing platform (if you are subscribed to the newsletter) — your email address is stored on the servers of the platform we use to send newsletters, according to its privacy policies.
  • IT and hosting providers — which ensure the operation of the servers and the web platform.

With all these entities we have contractual agreements that include confidentiality and data protection clauses, ensuring that the data are used strictly for the necessary purpose and in accordance with the law. We do not sell and do not transfer your data to third parties for their own benefit (e.g. we do not provide databases to external marketing agencies without your consent).

Currently, we do not carry out data transfers outside the European Economic Area (EEA). Our storage infrastructure and our partners’ servers are located within the EU. If, however, in the future such a transfer becomes necessary (e.g.: storage on a cloud server in the USA), we will ensure that appropriate safeguards are in place (European Commission adequacy decision or Standard Contractual Clauses) and we will inform you in accordance with the law.

  1. WHAT PROTECTION MEASURES AND SAFEGUARDS DO WE TAKE?

The Company (through the QUANTICA 720 Integrative Medicine Clinic) implements appropriate technical and organizational measures to ensure a high level of security and protection of personal data.

We use security methods and technologies, together with internal work policies and procedures, including control and audit, to protect the personal data collected in accordance with the relevant data protection legislation in force.

  1. WHAT ARE YOUR RIGHTS AS A DATA SUBJECT?

Any data subject may exercise the following rights, as provided by the General Data Protection Regulation:

  • Right of access — you may request confirmation that we process your data and a copy of the data we hold about you;
  • Right to rectification — you may request correction of inaccurate personal data or completion of incomplete data;
  • Right to erasure (“right to be forgotten”) — in cases provided by law (e.g. data unlawfully processed, withdrawal of consent for processing based on consent, etc.), you may request the deletion of data concerning you;
  • Right to restriction of processing — you may request, in certain situations, that stored data be marked to limit future processing (e.g. if you contest the accuracy of the data or the legality of the processing);
  • Right to data portability — for data provided by you and processed automatically on the basis of consent or contract performance, you may request their provision in a structured, commonly used, machine-readable format, or their transmission to another controller, if technically feasible;
  • Right to object — you may object at any time, on grounds relating to your particular situation, to processing based on our legitimate interest (including profiling) or to processing for direct marketing purposes (in which case we will cease marketing communications);
  • Right not to be subject to a decision based solely on automated processing (including profiling) that produces legal effects concerning you or similarly significantly affects you — Quantica720 does not use automated decision-making processes without human intervention that would significantly affect you.
  • Right to address the National Supervisory Authority for Personal Data Processing (www.dataprotection.ro) and the courts.
